Notice is hereby given that the Annual General Meeting of Stonehaven Town Partnership will be held in the Town Hall, Stonehaven, on Monday 1st June 2009 at 8:00 pm.

1.     Welcome and Introduction 

2.     Minutes of the AGM held on 24th May 2008 

3.     Chairman’s report 

4.     Update on progress with the Town Hall 

5.     Approval of the Accounts for year ending 5th April 2009 

6.     Appointment of Directors (see notes below) 

7.     Any Other Business 

Followed imediately by a joint meeting with the Stonehaven Arts and Leisure Trust

Note re the election of Directors 

In accordance with the Bye Laws of the Stonehaven Town Partnership (para 36), all the directors will retire at the Annual General Meeting but may be re-elected.  There shall be a minimum of 3 and a maximum of 12 directors.  It is expected that there will be some vacancies. 

Nominations for appointment as a director must be received by the Company Secretary no later than 10 days before the meeting (i.e. by 8 p.m. on Friday May 22nd 2009), in order that the Company Secretary may publish a list of nominees to all member organisations
within 7 days before the Annual General Meeting.  Nominations should show the sponsoring member organisation, and the nominee’s name, address and e-mail address (if possible). 
Electronic submissions are acceptable. 

Voting for directors shall be on the basis of one vote for each member organisation. 
Members (i.e. the organisations within Stonehaven) should appoint one person to be their voting representative at the meeting, although other individuals are entitled to attend, but not vote.
